Purpose and relationship to project terms

This Cancellation & Refund Policy explains the general approach to cancellations, rescheduling, project pauses, credits, and refunds for services provided by Managing KRB Consults. Because consulting time is reserved and work is performed against a defined scope, cancellation consequences depend on when notice is received, the work already completed, costs already committed, and the terms of the applicable proposal, statement of work, service agreement, or invoice.

The written engagement document controls if it contains a more specific cancellation, rescheduling, deposit, minimum commitment, or refund term. Nothing in this policy limits a right or remedy that cannot legally be limited. A request is not effective merely because it was drafted; it must be delivered through the established project communication channel and contain enough information to identify the client and engagement.

Cancellation before work begins

A client may request cancellation before substantive work begins. If no work has been performed and no nonrecoverable cost has been incurred, amounts paid may be eligible for refund less any clearly disclosed administrative, payment-processing, scheduling, or nonrecoverable third-party cost, to the extent permitted by law and the engagement document. A deposit identified in writing as nonrefundable is retained to the extent it reasonably covers reserved capacity, onboarding, planning, or other agreed consideration.

Preparation can begin before a scheduled meeting or visible deliverable. Reviewing submitted materials, organizing project files, conducting preliminary research, reserving specialist resources, preparing an agenda, and developing an operating plan are examples of work that may be billable when included in the scope. The client should request cancellation as early as possible to reduce additional work or cost.

Cancellation of an active fixed project

When a fixed project is cancelled after work begins, the client remains responsible for work performed through the effective cancellation date and for approved or nonrecoverable costs incurred for the engagement. The value of completed work may be calculated using milestones, percentage of scope completed, documented project activity, or an hourly equivalent stated in the engagement document. If payments received exceed the amount properly due, the difference may be refunded. If the amount due exceeds payments received, the remaining balance will be invoiced.

After all undisputed amounts are paid, Managing KRB Consults may provide completed client deliverables that are then suitable for release. Drafts, internal methods, incomplete analyses, raw research, working files, notes, or unapproved materials are not automatically deliverables. A cancellation does not transfer rights beyond those granted in the engagement document, and rights conditioned on full payment remain conditioned on full payment.

Ongoing monthly business support

Ongoing Business Support is scheduled and staffed on a monthly basis. The applicable agreement may require advance notice before the next service month, a minimum initial period, or payment for a current period that has already begun. Unless a signed agreement states otherwise, cancellation affects future service periods and does not retroactively cancel work performed, availability reserved, or commitments made during the current period.

Unused time, task capacity, meeting availability, or service opportunity does not roll over, convert to cash, or create a refund unless the monthly agreement expressly provides otherwise. A client should send cancellation notice before the renewal or invoicing date stated in the agreement. If no separate date is stated, at least ten calendar days’ notice before the next service month is requested so commitments can be closed responsibly.

Rescheduling, delays, and project pauses

A meeting may be rescheduled without charge when reasonable notice is provided and the new time is available. The engagement document may establish a rescheduling fee or minimum notice window for workshops, reserved working sessions, or time-sensitive activities. Repeated changes, missed meetings, or notice received too late to reassign reserved time may be treated as used project time.

If a project is delayed because required access, information, approval, or feedback is not provided, Managing KRB Consults may pause the schedule and move remaining work to the next available period. A material or extended pause may require a revised timeline, updated scope, or reasonable restart fee if project materials must be reviewed again. If the client does not respond for thirty calendar days after a written request for required input, the engagement may be treated as inactive or cancelled after further notice.

How refund requests are evaluated

A refund request should be made promptly and identify the client, service, invoice, payment date, cancellation date, and reason for the request. Managing KRB Consults may ask for additional information needed to confirm the transaction and project status. Each request is evaluated against the written scope, work records, delivered value, reserved capacity, costs incurred, and applicable law.

Amounts attributable to completed work, accepted deliverables, used monthly support, nonrecoverable third-party costs, authorized expenses, or services already provided are generally not refundable. Dissatisfaction alone does not automatically create a refund when services were performed according to scope, but a specific claimed scope issue will be reviewed in good faith. An approved refund is returned through a reasonable available method. Processing time may depend on the original payment provider and financial institution.

Cancellation by Managing KRB Consults

Managing KRB Consults may decline, suspend, or cancel work because of nonpayment, missing information, prolonged delay, unlawful or unethical instructions, abusive conduct, security concerns, a conflict of interest, work outside supported service areas, force majeure, or another condition that makes responsible performance impracticable. When reasonably possible, notice will explain the effective date and any steps needed to close the engagement.

If work is cancelled for reasons not caused by the client and services paid for have not been performed, the unused portion may be refunded after accounting for completed work and authorized costs. If cancellation results from a client breach, the client remains responsible for work performed and costs incurred, and additional remedies available under the agreement or law are preserved.

Billing questions and payment disputes

A client should raise a billing question directly and promptly so records can be reviewed. Initiating a payment reversal or chargeback without first identifying a good-faith issue may delay resolution and may lead to suspension of work. Nothing in this section prevents a person from exercising a lawful payment or consumer right. The goal is to resolve accurate, documented questions through the ordinary project channel whenever possible.

This policy should be read with the Payment Policy and Terms of Service. If one provision is unenforceable, it will be limited to the minimum necessary and the remainder will continue. Managing KRB Consults may revise this policy for future engagements by posting an updated version. A revision does not retroactively change a signed agreement or completed transaction.
